Initial situation: Slow processes and manual quotation preparation

Scope, Riege's flagship product, was developed as a digital standard for the logistics industry. It enables globally active companies to combine all transport logistics and customs clearance processes in one platform. However, the quotation process was a weak point for a long time until Riege automated and modernized it. Previously, the quotation process was manual, error-prone and inconsistent: several employees were involved, there was a lack of standards, and products and prices were often presented inconsistently. This led to multiple purchases of the same service and contradictory contract clauses, which often required further clarification.

In addition, the process took between two days and two weeks, sometimes longer. Country-specific requirements such as different languages and prices made the processes even more difficult.

Finding solutions for inefficient and unscalable processes

Inefficient processes were hampering Riege's internal productivity and increasing the risk of missing out on market opportunities. With growing complexity and a lack of scalability, it was clear that a new, flexible system was needed. The team set out to find a modern, scalable solution - with a clear focus on industry-specific solutions in the areas of automation and usability. The implementation of the new Riege platform presented technology partner Konzepthaus with complex challenges.

The first tasks included data migration and restructuring, as grown data structures prevented a clear system. The aim was to create a scalable basis for the quotation system. Processes such as quotation creation, approvals and contract reviews were automated in order to replace manual, error-prone workflows.

Country-specific adaptations

Country-specific adaptations were essential, as customers in over 60 countries require different languages, currencies and legal requirements. The platform acts as a central hub and flexibly integrates this diversity.

UI/UX design and training ensure acceptance

A modern UI/UX design was to promote user-friendliness and ensure acceptance. In addition, a cultural change accompanied the system change, supported by training and communication to involve all stakeholders.

The solution

Customized platform based on HubSpot

konzepthaus WebSolutions teamed up with Riege to develop a customized solution based on the HubSpot platform, which integrates and efficiently combines state-of-the-art functions in both the frontend and backend. The team's goal: to maximize the efficiency and flexibility of the quotation and sales processes - while at the same time ensuring high scalability and user-friendliness.

Data migration and standardization

A central component was data migration and standardization. The existing data was cleansed, standardized and successfully migrated to the HubSpot platform. A new, structured product catalog with clearly defined SKUs and standardized service descriptions was integrated, which improved the quality of the offer and reduced errors.

Automated quotation generation

Automated quotation creation was another milestone. With the new solution, quotations can now be created quickly and professionally. Graduated prices, discounts and country-specific adjustments are calculated automatically, which significantly speeds up the process and reduces the error rate. Automated workflows for approvals, quotation checks and contract management save time and ensure consistently high quality in all processes.

User-friendly design increases acceptance

The platform was also given a user-friendly design with dedicated workflows. This visual and functional redesign increased user acceptance and optimized usability.

Efficiency through real-time overviews and central storage

Real-time overviews of current quotations, central document storage and a reporting tool were introduced as value-added features to continuously monitor the efficiency of quotation creation. All relevant contract documents and quotes are now stored centrally in HubSpot, which simplifies access and management. The system also offers the flexibility to implement future enhancements such as SAP integration.

Seamless integration of HubSpot technologies

konzepthaus relied on the seamless integration of HubSpot technologies in the project: The CMS Hub was used for dynamic pages, the CRM Hub managed customer and product data centrally, while the Sales Hub automated the creation of quotations. In addition, the Marketing Hub was used for personalized communication and the Service Hub for an efficient ticket system.
Our aim was to create a digital solution that is efficient, flexible and future-proof. By switching to HubSpot technologies, we were able to fully meet Riege's desired requirements. All processes from quotation preparation to contract processing are now managed centrally via the platform, which significantly improves usage and transparency for everyone involved.
